Vendor FAQ

What business opportunities are available with ODOT?

The Department does an estimated $50 million dollars annually with approximately 300 annual term contracts and one time bids.  You may access a sampling of the goods and services purchased from our contract listing.

Does registering with ODOT allow vendors to be notified of all state bid opportunities?

No.  Registered vendors will only be notified of the specific opportunities they registered for with ODOT.  For vendors interested in other bidding opportunities with the State, go to the State Purchasing web site.

Do vendors need to be prequalified to bid with ODOT for goods and services?

No.  Vendors are not required to be prequalified to bid on goods and services for ODOT.

How do vendors register as a minority?

To get certified as a Minority Business Enterprise (MBE) a vendor must contract the DAS Equal Opportunity Division (MBE).  The MBE section can be contracted at 614-466-8380 or by visiting the web site at http://www.state.oh.us/das/Eod/EODMBEOff.htm.

How do vendors get notified of bids?

Upon registration vendors will be automatically added to the bid list for the contracts they registered for.  All bids are mailed courier overnight and are available on ODOT's purchasing website.

Who do vendors contact with bid questions?

The purchasing coordinator for each bid is listed on the front page of the invitation.

Can bid responses be faxed by vendors?

No.  All bids must be sealed and received by mail, courier or in person, prior to 11:00am on the bid opening date.  The sealed document must be identified with vendor name, invitation number and opening date.

Are vendors required to fill out a Buy Ohio Affidavit?

The buy Ohio affidavit is an important document and all bidders are encouraged to fill out this form completely.  The Buy Ohio Affidavit can come into play during the evaluation of a bid.  Preference factors can not be applied if the form is incomplete or not filled out.

How and when do vendors obtain bid results?

All bidders are encouraged to attend bid openings.  Upon completion of the bid opening no bid information will be disseminated until the bid has been awarded.  Upon awarding the bid the results can be obtained by contacting the Office of Contracts, Purchasing Section or on the Awarded Invitations to Bid section of the Purchasing website.

How are vendors notified of an award?

By letter or purchase order.

Can vendors get added to an awarded contract (one that has been competitively bid and awarded)?

No.

What Cooperative Purchasing opportunities are available?

Cooperative Purchasing opportunities are available for most goods contracts by ODOT.  Services bids are exempt from the cooperative purchasing program.  More information about ODOT's Cooperative Purchasing Program can be found on ODOT's Purchasing website.
